Sound and lighting equipment hire for your event

First decide what your event needs

Sound and lighting for a café of 40 people and for a summer stage in a park are different sets. The main question is how many people and where the event takes place. In a closed hall for 80 guests, a pair of active speakers with a subwoofer is usually enough, but in the open you have to increase the power, because the sound “spreads out”.

Think separately about the tasks: just music and toasts, a live band, a host with wireless microphones, or a full show with lighting. The mixer, the number of microphones and even the cabling depend on this.

What to put in your request

A hire company cannot work out a set “by eye”. These details will help:

  • what to hire — speakers, microphones, mixer, stage lighting, LED screen, stage or DJ set;
  • event and number of guests — corporate event, wedding, concert, conference; roughly how many people;
  • venue — indoors or outdoors, size of the hall, whether there are sockets and what the power supply is;
  • specifications — power in kW, number of wireless microphones, screen size, for example 4×3 m;
  • date and duration — in hours or days, including set-up and dismantling;
  • sound engineer or operator — whether you need one or take the equipment without a person;
  • delivery and set-up — bring, set up, collect;
  • event location and budget, if you want to name one.

Example: “Corporate event for 80 people at a restaurant in Koregaon Park, Pune, on 12 November, for 6 hours. I need speakers with a subwoofer, 2 wireless microphones, a mixer and basic stage lighting. With a sound engineer, delivery and set-up. Budget up to ₹40,000.”

How to compare offers

In sound hire, the price often depends not only on the equipment but on the people. So check what exactly is in each offer: is there a sound engineer, are delivery, set-up, tuning and a sound check before the guests arrive counted? Ask whether spare microphones and cables are provided in case something fails in the middle of the evening.

Look at the power: compare the real power in kW, not just the brand name. For lighting, ask whether stands, a console and a smoke machine are included, if you need them.

Common mistakes

  • Not stating the venue. Outdoors without electricity you will need a generator, which is a separate cost.
  • Not agreeing the set-up time: the company needs access to the hall several hours before the start.
  • Taking the “cheapest” set without a sound engineer, and then not knowing how to use it.
  • Ordering at the last moment: in the wedding and corporate season, good equipment for weekends is booked in advance.

How it works on BlaBlaPrice

You describe your event in one request, and hire companies in your region reply with offers in the chat: what is in the set, price, set-up, terms. Your request is checked before it is shown, and the site suggests what details are still missing. Hire companies see where they stand among the others and can improve their terms, so the price is often better. Only the one you choose sees your phone number. Questions and answers

Do I need a sound engineer if I take only speakers and microphones?

For simple music and toasts a pre-set system is sometimes enough, but for speeches and live sound it is better to have a person at the desk. Say in your request whether you need an engineer, and compare the prices of both options.

How much power do I need for 80 guests?

It depends on the hall and on what will be played: quiet background music or dancing. Describe the venue and the event, and the companies will pick a set and advise on power.

Can I hire equipment for an outdoor event?

Yes, but say whether there is electricity on site and whether you need rain protection. The company may offer a generator or another power arrangement.

How far ahead should I order?

In the wedding and corporate season good sets are booked in advance, so post your request as soon as you know the date. A request stays active for 7 days and can be extended.
